1. Agreement to Terms

By accessing and using the services of Hove Office Spaces ("we," "us," or "our"), you agree to be bound by these Terms and Conditions. If you disagree with any part of these terms, you may not access our services.

2. Services Provided

Hove Office Spaces ("Company") provides private office space rental and related services in Hove, East Sussex. Our services include but are not limited to:

  • Private office spaces suitable for 1-4 person teams
  • Access to shared common areas, facilities and meeting rooms
  • High-speed internet connectivity and WiFi access
  • Utility services including electricity, heating, and water
  • Cleaning and maintenance services
  • Mail handling and reception services (where applicable)
  • 24/7 access to office spaces (subject to specific agreement terms)
  • Business address services

3. Rental Agreement and Booking

All office space rentals are subject to availability and a separate written rental agreement ("Licence Agreement") that will be executed upon confirmation of your booking. The rental agreement will specify:

  • Monthly rental fees, service charges, and all applicable costs
  • Duration of the rental period and commencement date
  • Notice period required for termination by either party
  • Security deposit and advance rental payment requirements
  • Specific terms, conditions, and restrictions related to your office space
  • Permitted use restrictions and occupancy limits
  • Key card access and security arrangements

No tenancy is created by these arrangements. All agreements are licence arrangements terminable in accordance with the terms set out in the Licence Agreement.

4. Payment Terms and Fees

All rental fees and charges are payable monthly in advance by the first day of each calendar month. Payment methods accepted include:

  • Bank transfer (BACS payment)
  • Standing order (preferred method)
  • Corporate credit card (subject to additional processing fee)

Late payment charges of £25 plus 4% above Bank of England base rate per month may be applied to overdue amounts. We reserve the right to suspend services for accounts more than 14 days overdue. All prices are exclusive of VAT unless otherwise stated.

A security deposit equivalent to one month's rental fee plus VAT is required upon signing the Licence Agreement. This deposit will be held against damages, unpaid fees, or cleaning charges and returned within 30 days of licence termination, subject to any deductions.

5. Permitted Use and Restrictions

By using our office spaces, you agree to:

  • Use the office space solely for lawful business purposes during permitted hours
  • Maintain the office space in clean and good condition
  • Comply with all building rules, regulations, and health & safety requirements
  • Not cause nuisance, disturbance, or annoyance to other licence holders or building users
  • Not make any structural alterations, installations, or decorations without prior written consent
  • Not exceed the maximum occupancy limits for your office space
  • Observe all fire safety and emergency evacuation procedures
  • Not store hazardous, illegal, or inappropriate materials on the premises
  • Not sub-let, assign, or share the office space without express written permission

Prohibited activities include but are not limited to: manufacturing, food preparation, medical/dental practices, childcare services, or any activities requiring special licences or creating unusual noise, odours, or waste.

6. Data Protection and Privacy

We are committed to protecting your privacy and personal data in accordance with GDPR regulations. Please refer to our Privacy Policy for detailed information on how we collect, use, and protect your personal information.

7. Insurance and Liability

The Company maintains insurance for the building structure and common areas. However, you are solely responsible for:

  • Insuring all personal property, equipment, and contents within your office space
  • Obtaining comprehensive business insurance including public liability (minimum £1 million)
  • Professional indemnity insurance appropriate to your business activities
  • Employer's liability insurance if you employ staff

The Company accepts no liability for loss, damage, or theft of your property. You indemnify the Company against any claims, damages, or expenses arising from your use of the premises. Our liability for any breach is limited to the total fees paid by you in the 12 months prior to the claim, except for death or personal injury caused by our negligence.

8. Termination and Notice

Either party may terminate the Licence Agreement by providing written notice:

  • One month's written notice for periodic licences (rolling monthly)
  • As specified in fixed-term licences (typically 30-90 days)
  • Notice must be given in writing and served in accordance with the Licence Agreement

We reserve the right to terminate immediately without notice in cases of:

  • Non-payment of fees or charges
  • Material breach of these terms or the Licence Agreement
  • Illegal activities or activities causing nuisance
  • Insolvency, administration, or liquidation proceedings
  • Failure to maintain required insurance coverage

Upon termination, you must immediately vacate the premises, remove all belongings, and return access keys/cards. Any belongings left after 7 days may be disposed of at your expense.

9. Modifications to Terms

We reserve the right to modify these terms at any time. We will notify tenants of any material changes via email with at least 30 days' notice.

10. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
